Position Description

The System Patient Access Specialist is responsible for check-in, preregistration, registration, preadmission, and admission. These functions include but are not limited to obtaining accurate and thorough demographic information, responsibility for adhering to compliance with CMS, government payors, commercial and third party payors, EMTALA, and The Joint Commission rules and regulations and ensuring compliance, requirements, benefit verification, preauthorization requirements, signatures on consent for treatment, co-pay collection and other payments on previous balances, obtaining information, pictures and signature on HIPAA forms, issuing Medicare/Tricare Important Messages and Patient Rights and Responsibilities. The System Patient Access Specialist is goal-oriented and makes decisions based on the worth and success of each individual involved in the Revenue Cycle. Responsible for obtaining photo ID, insurance cards, signed forms and orders (when applicable) and scanning into the medical record at the time of registration/admission. Responsible for working and maintaining system work queues. This position will also require answering the telephone, faxing, scanning, DPM’s, and various other duties assigned by the manager. This individual will be crossed trained with the System Scheduling, Authorization, & Referrals to assist as needed. Works closely with other personnel to ensure a smooth, timely flow of patients and information to maximize reimbursement for services. Promotes harmonious and efficient intra and inter departmental relationships and delivers quality customer service. Adheres to the Mission, Vision, Values and Philosophy of the department and Saint Francis Healthcare System. Constantly works with and maintains restricted or confidential information from many sources within the Healthcare System. Any and all duties as assigned by the Supervisor, Manager.

Consistency and Quality - Consistency and Quality: Consistently provides a high degree of quality service to our customers while performing registration functions. Registers accurate demographics into the physician practice system. Verifies that the systems contain exact demographic and insurance benefits. Communicates with the patient or guarantor directly to verify insurance data. Explains clearly what the patient must present at the time of service including insurance card, identificaion and other documents or paperwork. In addition communicates financial expectation prior to the appointment, such as co-pay or other payments.

Compliance - Works to stay abreast of changing requirements to ensure compliance with federal, state and TJC requirements. Makes suggestions to implement improvements within the work arena to assist with customer or information flow. Works closely with UR to ensure appropriate patient statuses. Willingness to gain knowledge to improve self and position.

Productivity/Accuracy: - Productivity/Accuracy: Consistently obtains complete and accurate demographic information working directly with the reception areas to insure proper registration. Efficiently maintains levels of demographic entry accuracy so as to allow 98% front end cleans claim submission.

Policy and Procedures: - Policy and Procedures: Demonstrates knowledge necessary to complete job functions. Requires little to no assistance from co-workers. Works to stay abreast of changing requirements and makes suggestions to implement within the work arena.

Assignments/Workload: - Assignments/Workload: Consistently strives to set priorities for efficient and productive use of time. Performs additional work load with little or no assistance from co-workers. Priortizes workflow to eliminate patient delay. Demonstrates wise use of down time.

Communication - This position is responsible for interacting with the physicians, nursing staff, ambulance crews etc. Facilitates communication between professionals and clinical areas involved in patient care. This individual must have excellent customer service skills.

Bed Placement - This position will place bed orders in tele-tracking system after verifying the required bed attributes needed from the nursing staff so that we can get the correct bed requirements on the first time. This individual will also be responsible for ordering office and food supplies for the department and stocking linens in the rooms and the blanket warmers

Position Requirements

Educational Requirements:
High School Diploma or equivalent/General Studies Required

Additional Skills & Experience Requirements:
Must have a minimum of 2 year experience in a business, billing, or healthcare scheduling/registration/admissions setting. Ability to proficiently utilize a computer and software programs is essential. Must maintain a professional and courteous manners in dealing with customers and staff in all manners of communication. Must demonstrate appropriate and timely independent judgment.
