Position Description

Under the direct supervision of the Surgical Service Director, OR Manager, Assistant Managers and Vice President of Patient Care Services, the Administrative Partner is responsible for effective and efficient communication control in assigned areas and scheduling and clerical duties.

Answers the telephone, intercom and communicates all messages to the appropriate personnel. - • Answers telephones and intercom in a timely, polite manner and directs calls to the appropriate person. • Takes accurate messages when individual is unavailable and posts messages at designated site. • Calls the center core to announce arrival of physicians.

Schedules inpatient and emergency surgical procedures, obtains necessary information. - · Accurately schedules inpatient and emergency surgical procedures, obtains necessary information required for procedure preparation. · Knowledgeable of block scheduling system, assists with correction of scheduling conflicts when they occur. · Effectively communicates with physician's offices, anesthesia staff, surgery department staff and other hospital personnel.

Assembles necessary paperwork for all inpatient surgical procedures and performs other clerical duties. - · Has inpatient paperwork assembled promptly and accurately. · Has necessary information and paperwork available for anesthesia. · Knows location of documentation forms and retrieves them upon request. · Adequately performs other clerical duties. · Processes paperwork and ensures appropriate charge sheets are completed. · Anesthesia, Operating Room, Post Anesthesia Care Unit and Same Day Services.

Skilled in the use of main frame and other computer programs as related to their job responsibilities. - · Efficiently orders and/or obtains necessary test results for surgical patients; is capable of tracking results not readily available. · Is capable of functioning in other computer programs as necessary.

Delivers surgical specimen to the laboratory and verifies appropriate documentation. - · Processes all surgical specimens accurately; verifies documentation on requisition and specimen container; may seek assistance from RN when there is a question.    · Knows department and hospital procedure for handling specimens; capable of delivering specimens to the laboratory.   

Assists in the orientation and training of new personnel. - · Is skillful in all duties and responsibilities and willingly assists with training of new employees.     

Organizational Skills. - · Is organized and maintains a timely work flow. · Prioritizes workflow to eliminate patient delays. · Performs more than one task at a time. · Keeps work area neat and organized.

Position Requirements

Degree/Diploma: High School Diploma

Additional Skills & Experience Requirements: ▪ Previous computer experience required. Previous clerical experience required (preferably in medical field).
▪ Successful completion of medical terminology course preferred.
