Position Description

The Registration Supervisor position is responsible for managing the daily operations of their respective area(s). Areas of oversight include but may not be limited to Admissions, Registration, and Chart Assembly positions within Revenue Cycle. This position oversees areas in operation 24 hours a day 365 days per year and may be required to work varied hours to meet business needs. This position works well independently solving problems and acts as liaison with others outside the department to create smooth workflows and transitions of information needed for Admission/Registration. The individual is responsible for completion of employee evaluations, disciplinary action, interviewing, hiring, and termination. The Supervisor is goal-oriented and makes decisions based on the worth and success of each individual involved in the Revenue Cycle. There is responsibility for adhering to compliance with CMS, commercial and third party payers, EMTALA, and The Joint Commission rules and regulations and ensuring compliance. This position must stay abreast of computer system changes and enhancements as well as assist during implementation and optimization. This position is responsible for staff training and development through in-services, seminars and meetings. Development and execution of productivity and quality reports for staff use and reporting to Manager. This position helps to manage registration error timelines report, denials, productivity and follow-up work queues for timely completion to not impede Revenue Cycle. Is productive and exhibits excellent work ethic. Greater than 50% of the Supervisor’s time will be spent on leadership functions and will assist front line team members as needed to meet departmental benchmarks and goals. This individual will be cross trained with the Scheduling, Authorization, & Referrals Supervisor(s) to assist as needed. Promotes harmonious and efficient intra and inter departmental relationships and delivers quality customer service. Adheres to the Mission, Vision, Values and Philosophy of the departments and Saint Francis Healthcare System. Constantly works with and maintains restricted or confidential information from many sources within the Medical Center. Responsible for managing daily operations - Works well independently, problem solving, managing and working as a member of project teams. Forms and maintains a cohesive team of Director, Manager, Employee dedicated to productivity, goals and quality improvement. Is an able leader and trains, teaches, coaches and supports staff. Has excellent people skills and a working knowledge of regulations and laws governing hiring, firing, promotion and evaluations, including salary review. Demonstrates excellent leadership qualities. Will assist front line team members as needed to meet departmental benchmarks and goal achievement. Operates within the guidelines of the budget and demonstrates skills to do so.

Keeps the Director and Manager updated - Keeps the Director and Manager of the department updated on any and all important matters and potential problems as it relates to the position. By example and leadership helps to maintain a quiet and professional working atmosphere. Works to problem solve in a team setting or independently. Completes employee evaluations by designated due date. Areas of strengths and areas needing improvement are outlined and discussed with employees. Established goals and encouragement for setting goals is shared with employee. Encourages and works to develop staff through in-service, seminars and meetings. Encourages and promotes harmonious and appropriate intra and interdepartmental relationships among peers. Open discussion, suggestions and participation is encouraged from staff. Consistently holds departmental meetings at least quarterly with staff to keep them informed. Responsible for self and staff compliance with rules and regulations governing the work or the work place. Assists with compliance efforts in the work responsibilities.

Consistently provides communication - Consistently provides communication to the Manager and employees on productivity statistics and follow-up efforts. Areas of concern are brought to the attention of the Manager with recommendations for action needed. All work is maintained in a current status.

Provides assistance to other service lines - Provides assistance to other service lines in becoming operational within the Healthcare System. Demonstrates knowledge of departmental policy and procedures and system requirements to accurately assist in design and implementation of services while ensuring certain requirements, with compliance and customer service being maintained.

Assumes additional workload as directed - Assumes additional workload as directed by the Manager and/or Director of the department. Consistently manages time to complete additional workload while keeping current workload up to date and meeting assigned deadlines. Sets priorities appropriately. Promotes a positive image of Saint Francis Healthcare System in communications and actions to customers. Consistently conducts oneself with professional and courteous behavior with dealing with all types of customers, internal or external

Position Requirements

Educational Requirements:
High school graduate or equivalent required. Bachelor’s degree in business administration or healthcare related field preferred. Will consider comparable experience in lieu of bachelor’s degree. Experience must be related to healthcare business office, registration, accounting, scheduling, or other healthcare area.

Additional Skills & Experience Requirements:
Bachelor’s degree or minimum of four years’ experience in a healthcare business office, registration, accounting, scheduling, or other healthcare setting. Experience with CPT, HCPCS, Revenue and ICD codes and uses is a plus.
