Position Description

The Executive Assistant provides administrative support to the respective Chiefs or Vice Presidents, and provides additional assistance to the Executive Team as needed, including copying, faxing, sorting mail, answering phones, assisting with walk in traffic, and general office coverage.

Coordination - Compiles information from correspondence, phone calls, faxes, and other sources to ensure efficiency, organization, and accurate and up-to-date calendars. Establishes priorities and performs duties with little or no supervision.

Communication - Liaisons via phone and e-mail with the executive's area of responsibility, while maintaining confidentially and displaying a professional demeanor at all times. Clearly communicates unresolved and/or high priority issues appropriately and in a timely manner.

Scheduling - Maintains accurate calendar of meetings, exercising independent judgment in accepting/declining commitments and prioritizing requests. Coordinates between several areas or with other organizations to schedule meetings and/or travel times that are convenient and accurate for all concerned parties. Properly notifies participants of place and time of meetings.

Travel Arrangements - Makes travel arrangements, prepares itineraries, and prepares and maintains expense reports.

Documents, Presentations, and Projects - Assists with preparing documents and presentations, including letters, email communication, reports, charts, spreadsheets, and slideshows. Prepares for and assists with cyclical and ad hoc projects as needed. Maintains copies and files as required.

Meetings and Minutes - Prepares agendas, attends meetings, and records and distributes meeting minutes as needed.

Position Requirements

Educational Requirements:
High School graduate or equivalent required. Bachelors degree preferred.

Additional Skills & Experience Requirements: Three to five years of experience as an administrative assistant required. Experience in a hospital or health care setting preferred. Proficient in typing and computer operation, specifically in the use of Microsoft Word, Excel, and PowerPoint. Strong verbal and written communication skills, problem solving, and analytical skills. Ability to interact effectively with all levels of personnel, appropriately prioritize, and multi-task.
