Position Summary

Reporting to Senior Legal Counsel, AIMCo is seeking a fixed-term Executive Assistant, Legal for a period of up to 16 months (approximately October 2018 to January 2020) to provide temporary support to the AIMCo Legal team, enhancing the effectiveness of the Legal department by providing professional, efficient and effective administrative and time management support. The right candidate is flexible, adaptive to change, a proactive multi-tasker,and adept at forging relationships and interacting positively with all levels of the organization.

Responsibilities will include:

  • Providing high-level administrative support to the Legal department, including but not limited to:
    • Assisting with the scheduling of, preparations for, and implementation of meetings and events involving both internal and external attendees;
    • Actively monitoring and maintaining calendars for Legal Counsel;
    • Assisting with domestic and international travel arrangements, including airfare, accommodations, ground transportation and data/roaming plans;
    • Maintaining expense records, including preparation, organization and submission of claims;
    • Tracking and managing invoices from external counsel;
    • Assisting with various aspects of legal transactions, including the preparation, execution and delivery of documents and correspondence;
    • Providing additional support to the Board of Directors as required.; and
    • Independently dealing with matters such as mail, couriers, calls, electronic communications and administrative requests.
  • Paralegal support work including but not limited to:
    • Assisting with the maintenance of various corporate entities, including annual reporting, securities filings and tax requirements;
    • Bank account set-up; and
    • KYC requests.
Our Ideal Candidate
  • Related administrative experience in a professional setting is required.
  • Legal Assistant/Paralegal Diploma or equivalent from an accredited college would be considered an asset.
  • Proficiency with Microsoft Office is required.
  • CORES I AND II Certifications would be considered an asset.
  • Experience with Diligent (or a related platform) is an asset.
  • High confidentiality awareness is essential.
  • Excellent interpersonal and communication skills.
  • Well organized with the ability to adjust priorities as required.
  • Ability to work independently and as part of a team.
  • Problem solver with a drive for results.
