Position Summary
AIMCo is looking for an Administrative Assistant to fill a one year Maternity Leave. As a member of the Toronto Office, you will provide front office support by meeting and greeting clients, guests, vendors, and visiting personnel from AIMCo's Edmonton Office, as well as providing general administrative support to the Toronto Office team.

Responsibilities will include assisting the Office Manager in maintaining the day-to-day operations of the office in an efficient and effective manner by directing calls, managing correspondence, coordinating meetings, preparing expense claims, assisting with travel arrangements, and assisting in the preparation of correspondence, reports. and presentations as required. Hours of work are 9:30 am to 5:30 pm.

To be successful in this role, you must have excellent written and verbal communication skills, complemented by well-developed interpersonal skills. This role requires a team player with a professional, efficient manner and the ability to manage multiple priorities.

*Note this position is for a one year maternity leave coverage*
Our Ideal Candidate
  • Completion of a recognized Office Administration or Administrative Assistant post-secondary program is preferred.
  • Proficiency with Microsoft applications (Office, Word, Outlook, Excel, PowerPoint).
  • Experience in Concur expense software experience and coordinating extensive travel arrangements for multiple personnel
  • Reception and Office administration experience is required.
  • Ability to communicate across all levels of the organization.
  • Ability to maintain confidentiality and protect personal information is required.
  • Experience in calendar management, specifically booking meeting rooms for internal and external guests.
